The challenge
Hallo's procurement process relied heavily on manual work. Employees had to:
- Search multiple suppliers for pricing and availability.
- Compare stock levels manually.
- Create purchase orders in supplier portals.
- Monitor orders across different systems.
- Manually update Salesforce throughout the process.
Besides being time-consuming, this way of working made it difficult to track orders and increased the risk of errors. There was no complete overview of the procurement process within Salesforce.
The solution
We designed the new business process together with Hallo before translating it into a technical solution. The result is a fully integrated procurement platform within Salesforce.
The solution combines market data from nine different suppliers into a single view, continuously updates product availability, recommends the most suitable supplier based on price, stock availability, and delivery performance, and automates the complete purchase order lifecycle.
From the moment an order is placed until delivery, every status update is synchronized automatically back into Salesforce, providing users with complete visibility of the process.
The results
The impact became visible immediately after go-live.
- 90% faster purchase order processing. Submitting and monitoring a purchase order now takes less than 3 minutes, compared to approximately 28 minutes before.
- 80% fewer manual process steps, significantly reducing administrative effort.
- Higher efficiency. Users can process substantially more purchase orders in the same amount of time.
- Improved decision-making. Instead of relying on personal preference or experience, users receive data-driven supplier recommendations based on live market information.
- Better visibility. Every purchase order can now be tracked directly within Salesforce throughout the entire procurement journey.
- Reduced risk of errors. Automation removes repetitive manual tasks and creates a more consistent process.
The combination of automation, real-time data, and intelligent recommendations enables Hallo to work faster, make better sourcing decisions, and provide customers with a more reliable procurement process.
What we learned
One of the key learnings from this project is that successful digital transformation is not just about building software. Designing the right business process together with the customer proved to be equally important.
The project also reinforced the value of domain knowledge. Deep understanding of procurement processes helped shape a solution that addressed business challenges instead of simply digitizing existing manual work. Bringing industry expertise into projects from the start can significantly increase the value delivered to customers.
Looking ahead
This project transformed procurement from a fragmented, manual workflow into a connected, intelligent process. Beyond the immediate efficiency gains, it provides Hallo with a scalable foundation for further optimization and future innovation across its sales and procurement operations.
